Permissions


Managing Users, Roles, and Permissions in Sibe


This guide covers how to invite users to your Sibe Workspace and explains the difference between the global Workspace Owner and Workspace Member roles. You will also learn how to set granular, folder-level permissions that override the global settings.


Prerequisites


Before proceeding, you must be the Workspace Owner of an active Sibe Workspace. You must also have your new team member's email address ready.


Adding Users to Your Workspace

The first step to managing permissions is to invite your team members. When you invite a new user, they will receive an email to set up their account.


  1. Navigate to the user management section of your Web Dashboard. (Verify this step matches the current UI — it may have been updated since the video was recorded.)
  2. Enter the new team member's email address and click the Invite button.
  3. The user will receive an invitation email. Instruct them to follow the link in the email to create their account and log in. Once they do, they will be accepted into the Workspace.
  4. If a user has been soft-deleted and you need to bring them back, simply re-invite them using the same process, and their name will be added back to the team.




Understanding Global Workspace Roles


In Sibe, all users belong to one of two global roles that define their baseline permissions across the entire Workspace.


Workspace Owner


  • The first person to create the Sibe account automatically becomes the Workspace Owner.
  • This role has full permissions to do everything and can see all folders, subfolders, and files, regardless of who created them.
  • Workspace Owners are also the only users who can Lock and Unlock files (which locks a file so only you can edit it, preventing accidental overwrites by teammates).
  • They are automatically designated as approvers for workspace and revision approvals.
  • This role cannot be changed for the initial account creator.


Workspace Member


  • This is the default role for all other users who are invited to the Workspace.
  • Workspace Members have standard access to the files and folders they have permission for.


You can set a user's global role to Owner or Member from the user management screen using the simple pull-down menu.





Setting Granular Folder Permissions


In addition to global roles, you can set granular permissions on individual folders in the Web Dashboard. This allows you to create specific access rules for projects.


  1. In the left‑hand navigation panel, click Vault, then go to your Folders section. Click to Create a new folder.
  2. When prompted, choose one of two permissions levels for the folder:
  • Public Folder: Everyone in your Workspace will have access to all contents.
  • Private Folder: The folder is created without permissions, allowing you to set them manually.
  1. Select Private Folder to create a folder where you can customize access.
  2. Once the folder is created, click on the folder name, then look under the Actions menu and click Users.
  3. In the user permissions screen, you can add any user from your Workspace by typing in their email and clicking Invite.
  4. For each user listed in the folder permissions, use the pull-down menu to set their role to either Owner or Member for this specific folder. This setting will override their global Workspace role for the content within this folder.





Tips & Troubleshooting


  • Folder Permissions Override: Remember that any Owner or Member role you set at the folder level will always override the user's global Workspace Owner or Workspace Member role.
  • Changing Folder Type: You can change a folder's permission setting (from public to private and vice-versa) at any time after creation.
  • Soft Delete: Deleting a user is a soft delete. If you accidentally delete a user, you can easily restore their access and files by simply re-inviting them.
