Managing Files and Folders in the Sibe Web Dashboard


This guide walks you through the main features of the Sibe Web Dashboard (the Workspace) where you can view and manage your uploaded CAD documents. By the end of this guide, you will understand the file properties displayed, how to perform basic file actions, and how to organize your data.





Understanding the File List View

When you access a folder in your Sibe Workspace, you will see a list of all uploaded CAD documents. The file list provides key information at a glance:

  • File Name: The name of your CAD document.
  • Version: The internal iteration of the file (versions let you track changes over time—think of it like saving snapshots of your design at key milestones).
  • Workflow State: The current stage of the file's lifecycle, which can be In Progress, Under Review, or Released.
  • Status: This column shows if a file is Checked In or Checked Out (a Check-out locks the file so only one person can edit it, preventing accidental overwrites by teammates). If a file is Checked Out, the name of the user who has it locked for editing will be displayed.
  • Revision: For files in the Released workflow state, the file status will also display the assigned Revision letter or number (A1, B2, etc.).
  • Modified: The last time and date the file was changed.





Managing File Properties and Actions

Each file in the list has an Actions menu (typically represented by three dots) and an Info icon (typically represented by a small 'i' or similar).


Using the Actions Menu

The Actions menu gives you direct control over the file. From this menu, you can:

  • Rename the CAD document.
  • Submit a file for release.
  • Download the source file.
  • Delete the file.


Renaming a CAD Document

If you choose to rename a file, you must first ensure that the change is reflected in your local environment to avoid issues with file references.

  1. Click the Actions menu next to the file and select the option to Rename the file.
  2. Before you access the file again in SolidWorks, you must clear your local cache. This means manually removing the folder that contains your local copy of the file from your computer's local cache location.
  3. When you next recache the file, Sibe will pull down the CAD document with the new name, ensuring all references are correctly handled.





Viewing Detailed Information in the Info Sidebar

Click the Info icon to open the details sidebar for any selected file. This sidebar provides an in-depth view of the CAD document's properties and history:

  • File Properties: A detailed view of the file's metadata, including its size.
  • Lock/Unlock Status: The current lock status. Remember that only Workspace Owners can Lock and Unlock files.
  • Check-out Status: Displays whether the file is Checked Out and gives you the option to Check Out the file directly from the Workspace view if it is not currently checked out by anyone else.
  • Version Information: A complete history of all saved Versions for the file.
  • Where Used: This is a critical feature that displays all CAD documents that reference the selected file, such as its associated drawings and assemblies. This helps you understand the full context of a part or sub-assembly.





Organizing Your Data

To keep your Workspace organized, Sibe allows you to manage your files and folder structure directly from the Web Dashboard.

  1. Upload More Files: You can upload additional CAD documents or other project files directly into the current folder.
  2. Create Sub Folders: You can create new sub-folders to better categorize and organize your project data.





Tips & Troubleshooting

  • The local cache folder must be cleared manually when renaming a file to ensure the new file name is pulled down correctly, preventing reference errors in SolidWorks.
  • The ability to Lock or Unlock a file is restricted to Workspace Owners to prevent accidental changes to critical documents.
  • The three primary Workflow States are In Progress, Under Review, and Released. When a file reaches Released status, a formal Revision is applied.
